Job Profile:  Legal Secretary - Family department

We are looking for an experienced secretary to join the Family Department in the Birmingham office.

Main Duties
• To provide direct support to his/her fee earner and team to enable them to operate at optimum efficiency
• Preparation of documents through audio typing and word processing
• To administer filing including daily filing and the opening, closing storage and retrieval of client files in accordance with the detailed procedures contained within the office manual
• To prepare mail and disclosures for dispatch
• To arrange for all photocopying to be done in person if there is no office trainee available
• To make appointments, arrange meeting and to maintain an up to date diary for his/her fee earner or any fee earner within the team
• Preparation of the conference room for meetings as necessary and for the tidying up and clearance of the room at the end of the meeting
• To provide refreshments when asked to do so
• To provide support to other secretaries as required
• To provide guidance and support to junior and temporary secretaries and work experience candidates when required
• To attend clients in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care
• To undertake any specific training when required to do so and overall to have a responsibility towards self-development
• To ensure the confidentiality of all the firm’s and client’s documentation and information
• Any other reasonable tasks as required by your fee earner, team leader or the Operational Manager of the relevant department.
